Campaign Template: Create an Entry Group

What is an Entry Group?

If you have a long or complex list of products for sale, then the most efficient way for your Agents to access that information when talking to a Lead is through an Entry Group.

When an Entry Group has been set up, an Agent on the Contact Page will be able to select one of the products for sale from a pop-up. All of the product data will automatically fill in the Data Fields, and be saved to the Lead.

Creating an Entry Group comprises of three steps:

1 - Enter your data into an Excel sheet, and save it as an .xlsx file

2 - Create Data Fields that corresponds to each Excel column in your Campaign Template

3 - Upload the Excel sheet to your Campaign.

Before you begin

To begin, make sure you have your product information saved in an .xlsx file.

In this guide, we will create an Entry Group for a telesales team that are selling mobile phone subscriptions.

Please not that text values such as DKK can not be uploaded into a Number field in the Campaign Template.

The .xlsx file will contain the following data:

Create an Entry Group

Expand the Campaigns drop-down menu and select Campaign Templates.

Click Edit to open the Campaign Template in which you want the Entry Group.

In the Campaign Template builder, click New to begin creating your Data Fields.

Enter the name of your first Data Field in the Name field. This will correspond to the first column in your .xlsx file. 

In our example, the first column is the Product list, so we want the Data Field to be named Select offer: this is what the Agent will see on the Contact Page. 

Next, create the Entry Group. Click the plus + icon to the right of Entry Group Options.

In the pop-up, enter the name of your Entry Group, and click OK.

When your Entry Group is created, it will automatically appear in Group Name.

In the Key in Group field, enter the name of the first column in your .xlsx file

In our example, Product is the Key in Group field. This will ensure that this Data Field will contain all the data found in the Product column of your .xlsx file. 

Create a new Data Field for each column that you want to include from your .xlsx file. 

Remember, when you have entered the Data Field name in the Name field, select the Entry Group from the Group name dropdown menu, and enter the .xlsx column name in the Key in Group field. Take a look below: 

In our example, in the Name column you can see all of the column names that will be displayed on the Contact Page.
In the Entry Group: Key column, you can see the name of the Entry Group, followed by the column name in the .xlsx file:

Next, go to Campaign Overview.

Select the Campaign you want to work with, and click Entry Group data. 

Click Add.

Under Match pattern for Entry Groups, enter the name of the Entry Group as you entered it in the Campaign Template.

If it is correct it will say Matched under Entry Groups for selected Campaign, and each Entry Group Key will be displayed under Unique entry keys in matched groups

Click Save.

Next, it is time to upload the .xlsx file. 

Under Data sets for selected configuration, click Add, then upload your file when prompted.

You will now see a preview of all your Entry Group data.

Enter a description of the Entry Group, and an optional expiry date, if the data is time sensitive.

Click Save.

🎉 Now your Entry Group data is configured! 🎉

The list will open in a pop-up window in the Contact Page, where the Agent can select an option that will be automatically filled in the correct data fields.
