Getting started with online meetings

Outbound by Enreach uses a Cronofy integration with Google and Microsoft Office 365 to send meeting URL links to your leads.

When you create a calendar in Outbound and subscribe to your own Gmail or Outlook external calendar, you can send Teams or Google Meeting links to your leads.

There is no hidden cost for using online meeting links!

However, reach out to your Customer Experience manager if you want to begin so they can activate meeting URLS for you.

Step 1

When creating or editing a calendar, click Subscribe to external calendar.

๐Ÿ‘‰ Donโ€™t have a Google or Outlook email to subscribe to? We recommend creating one.

๐Ÿ‘‰ Have you already synced your Gmail or Outlook calendars with Outbound? You will need to cancel the sync in your Calendar Settings, and re-subscribe - see the gif below.

It will take less than a minute to get up and running!

When your calendar is successfully synced you will recieve an email from Cronofy:

In Calendar settings, a successfully synced calendar will show Status: Completed.

What is Cronofy?

Cronofy is a trusted scheduling technology that allows all Outbound users to safely integrate their own email account and manage their calendar and appointments.

Is my password safe with Crony?

When you integrate your external calendar to Outbound through Cronofy, you can be sure that your information is secure, and absolutely not shared with or visible to either us, or any third party.

Cronofy uses OAuth 2.0 (Open Authorisation, an open standard for access delegation, commonly used as a way for internet users to grant websites or applications access to their information on other websites but without giving them the passwords. (Read more about OAuth here).

When you select which external calendar you want to integrate, after entering your password, Cronofy is given a token, which is then used to download and create calendar events. The password is not saved or shared, and only the token is used to integrate.

Outbound by Enreach and Cronofy never have access to the password you enter.

Access granted to Cronofy can be removed at any time by the user.

 Step 2

Online meeting links will most often be sent from Email, but can also be sent via SMS.

First, create a template.

Add the Meeting URL merge field into the body of the email, and click Save. Repeat for SMS templates.

To use the templates, Remember to add them to the Campaigns you're working with, in Edit Campaign.

Step 3

If you're using Calendar Shared Settings to automate your notifications, you can automatically send out meeting links to both the calendar owner and the lead.

As a best practice, we recommend sending the link shortly before the meeting: in the image below, the links will be sent an hour before the start time.

This is to make sure the link remains valid, because if the meeting is moved between calendars, then the link will not work.
